The welcome letter is an important piece of the welcome packet for tenants. It's a great spot to summarize important points of the lease, as well as having important phone numbers front and center. You may copy and paste the template below into Google Docs and customize to make it your own. Print it and include it in your welcome packet!

Dear Tenant, Welcome!
I hope the move-in process is going smoothly and that you are settling into your new residence quite nicely. First, this letter does not change anything we have agreed to in our written lease agreement. I just wanted to provide some additional information and personally welcome you to your new home.
As discussed, the rent is $_________ and is due on the DATE of every month. The rent for this month will be prorated and is due today. Payments should be sent to Zelle, Venmo, ACH, sent by check, etc. If Zelle or Venmo is preferred, include your username and email address and phone number here.
If there is a maintenance issue with the property or if a repair is needed, please notify me in writing as soon as possible, and we will schedule a repair time that works with each other's schedules.
I strongly recommend obtaining renters insurance to cover any damage or loss of personal property caused by fire, water damage, or theft to the property.
****Landlord Note**** In the next section you will find specific examples of things to include in your letter. Edit to your liking.
Feel free to use air conditioning but please help us out and clean the filter once or twice a month if you use it regularly. Electricity is not included in my HOA, so please be mindful of energy use. Turn off lights and air conditioning if you are not home.
As agreed in the lease, no smoking and no pets. Please help me maintain my property by removing your shoes. And no painting or modifications to the apartment without my approval. This includes hanging art on the walls.
Regarding our plumbing systems... This building was built in 1984. Please help us take care of the pipes and have no plumbing issues. ONLY toilet paper and organic materials are to be flushed down the toilet. No cooking oils, rocks, toys, personal hygiene products, Etc. *Including “flushable” wipes* Even though they are marketed as flushable, they are not healthy for a private septic system. All other materials must go in the trash.
I hope you’ll find that you have more than enough room, even in a small Hawaii space! Feel free to move things around to your liking. The floors and furnishings are new, so please do any moving with care.
